  • Data contained within the documents you ask to be notarised.

  • From your employer or authorised representative.
  • From public sources such as Companies House.
  • From professional agents involved in the matter (translators, couriers, legalisation agents).

  • Consent, but only where you explicitly give it, for example when asking us to liaise with a specified third party. 

Providing identification and supporting information is mandatory under professional and legal rules. Without it, the Notary cannot act. 

6. Sharing your data

We may share data only when necessary and lawful, with:

  • The Foreign, Commonwealth & Development Office for apostilles. 
  • Embassies, Consulates, and High Commissions for legalisation. 
  • Legalisation agents, translators, couriers, and secure IT or hosting providers. 
  • The Faculty Office for regulatory supervision. 
  • Law-enforcement or other authorities where required by law. 

We do not sell or use data for marketing. 

7. International transfers

Your data may be sent outside the UK, for example to a foreign embassy or authority so that your document can be recognised abroad.
Public authorities process data under their own local laws.
Where data is sent to private organisations overseas, suitable safeguards such as contractual clauses or secure transfer methods will be used where required.
You may request details of applicable safeguards.

8. Retention of records

  • Notarial acts in public form are kept permanently. 
  • Other records are kept for at least 12 years. 
  • Anti-money-laundering records are kept for five years after completion of the transaction or relationship. Files are stored securely, in paper and/or electronic form, and accessed only when required. 

9. Data security

Appropriate technical and organisational measures protect personal data against unauthorised access, alteration or loss.
However, internet and email transmissions can never be guaranteed fully secure. Please use tracked delivery for original documents and avoid sending identity scans by unencrypted email unless necessary.

10. Cookies

This website uses only strictly necessary and performance cookies to operate and analyse site traffic in anonymous form. 
No advertising or tracking cookies are used. 
You can block cookies through your browser settings; doing so may affect site functionality. 

11. Your rights

Subject to legal limits that apply to notarial records, you have the right to:

  • Request correction of inaccurate data. 
  • Request erasure where lawful to do so. 
  • Object to processing or request restriction of processing.
